Quick Start

Get Airmailer up and running in just 5 minutes. This guide walks you through the essential steps to start receiving and responding to customer emails automatically.

Prerequisites

Before you begin, you'll need:

  • A business email address (personal email domains like gmail.com are not supported)
  • Your brand logo (PNG or JPG, recommended 200x200px or larger)
  • At least one document to train your AI agent (FAQ, terms of service, or product info)

Step 1: Create Your Account

  1. Navigate to the Sign Up page
  2. Enter your business email address
  3. Check your inbox for a 6-digit verification code
  4. Enter the code to verify your account

Note: Airmailer requires business email addresses to ensure professional use and better deliverability.

Step 2: Configure Your Brand

After signing in, you'll be taken to the Brand Settings page. Here's what to configure:

Basic Information

  • Brand Name: Your company or product name
  • Logo: Upload your logo for email headers

Colors

  • Primary Color: Main brand color for buttons and accents
  • Accent Color: Secondary color for highlights

Email Footer

  • Mailing Address: Required for email compliance (CAN-SPAM, GDPR)

Step 3: Upload Your First Document

Navigate to Documents in the sidebar and add content that your AI agent will use to answer customer questions.

Recommended First Documents

  1. FAQ: Common questions and answers about your product
  2. Return Policy: For e-commerce businesses
  3. Pricing Information: Product tiers and features

How to Upload

You can add documents in two ways:

File Upload:

  • Click "Upload Document"
  • Select an HTML, Markdown, or text file
  • Documents are automatically converted and processed

URL Import:

  • Click "Import from URL"
  • Enter a webpage URL (e.g., your pricing page)
  • Airmailer fetches and processes the content

Step 4: Configure Your AI Agent

Navigate to Agent in the sidebar to customize how your AI responds:

Tone of Voice

Set the personality for your agent:

  • "friendly and helpful"
  • "professional and concise"
  • "casual and approachable"

Agent Rules

Provide specific instructions:

- Always greet customers by name when available
- Offer to connect customers with a human for complex issues
- Never make promises about specific delivery dates

Step 5: Preview Your Email Template

Navigate to Email to see how responses will look to your customers:

  • Preview in light and dark mode
  • Verify your logo displays correctly
  • Check that colors match your brand
  • Review the footer information

Step 6: Start Receiving Emails

Your Airmailer inbox is now ready! When customers reply to your marketing emails:

  1. Emails appear in Conversations
  2. Your AI agent processes and responds automatically
  3. Track everything in the Activity dashboard

Troubleshooting

Email not appearing in Conversations?

  • Ensure the email was sent to your configured inbox address
  • Check the Activity dashboard for processing status
  • Verify the email wasn't flagged as spam

Agent giving incorrect responses?

  • Add more relevant documents to your knowledge base
  • Adjust agent rules to provide clearer guidelines
  • Review the activity logs to understand agent behavior
