Understanding Metrics

What Good Looks Like

| Metric | Target | Concern Level | |--------|--------|---------------| | Success Rate | 95%+ | Below 85% | | Response Time | Under 1 minute | Over 5 minutes | | Failure Rate | Under 2% | Over 5% |

Interpreting Changes

Success Rate Dropping:

  • Check for new question types
  • Review failed emails for patterns
  • Update documents if needed

Volume Spike:

  • Marketing campaign sent?
  • Seasonal pattern?
  • External event driving traffic?

Volume Drop:

  • Normal variation?
  • Email delivery issues?
  • Marketing pause?

Metric Calculations

Success Rate Formula

Success Rate = (Responded Emails ÷ Total Inbound Emails) × 100

Example:
- Inbound emails: 1,000
- Responded: 950
- Success Rate: 95%

Trend Calculation

Change = ((Current Period - Previous Period) ÷ Previous Period) × 100

Example:
- This week: 500 emails
- Last week: 400 emails
- Change: +25%

Common Questions

Why is my success rate below 100%?

Some emails may:

  • Fail during processing (system error)
  • Be skipped (spam, auto-replies)
  • Encounter agent limitations

A 95%+ success rate is excellent for most use cases.

What causes volume fluctuations?

Normal causes:

  • Day of week patterns
  • Marketing campaign timing
  • Seasonal business cycles
  • Customer buying patterns

How often does data update?

Dashboard data:

  • Updates in real-time
  • Stats reflect current period
  • Charts update with new data
