Slack
With Slack connected, a channel in your Slack workspace gets a message whenever something needs your team: the same moments the notification emails cover, so the team sees them where it already talks.
Only owners can connect, test or disconnect Slack. Everyone on the team can see whether it's connected.
What is posted
A message goes to the channel when:
- A draft is awaiting approval. While earlier drafts are still awaiting approval, no further message is posted for 6 hours. A draft about a sensitive topic (safety, legal action, abuse, a payment dispute or strong distress) is posted at once, with its topic and the reason for approval.
- Pip couldn't answer a customer email. At most one message an hour, with how many emails need a reply.
- A customer writes in a conversation where Pip is paused. One message per customer email.
- This month's usage reaches 75%, 90% and 100%, and when extra usage reaches its limit. One message each a month.
Each message gives the count, the reason and a link into Airmailer. It never includes a customer's name, email address, subject or what they wrote: people in a Slack channel aren't always on your team in Airmailer, and the link asks them to sign in.
Slack and email follow the same limits, each on its own: if one of them doesn't go through, it is tried again with the next notification, whatever the other did. Messages go to Slack whether email notifications are on or off.
Connecting Slack
- In Slack, open api.slack.com/apps and create an app for your workspace.
- Under Incoming Webhooks, turn them on, choose Add New Webhook and pick the channel.
- Copy the webhook URL Slack shows. It starts with
https://hooks.slack.com/services/. - In Airmailer, open Settings > Notifications and choose Connect Slack.
- Paste the URL and choose Connect Slack.
- Choose Send test message to check that it arrives in the channel.
Airmailer accepts only a Slack incoming webhook URL, stores it encrypted, and never shows it again. Settings shows its last four characters, so you can tell which webhook is connected.
When Slack doesn't accept a message
If Slack refuses the test message, Settings > Notifications says why and what to do. If it refuses a notification, Slack shows as Failed there, with the date and the same fix, until Slack accepts a message again or you change the webhook URL:
- The webhook was removed in Slack, or the app it belongs to was: add a new webhook, then choose Change webhook URL and paste the new one.
- The channel was deleted or archived: unarchive it in Slack, or add a webhook for another channel and choose Change webhook URL.
- The channel doesn't allow the webhook to post: change who can post in the channel's settings in Slack, or use another channel.
Disconnecting
Under Settings > Notifications, an owner chooses Disconnect Slack:
- Messages stop being posted to the channel.
- The stored webhook URL is deleted from Airmailer.
- Email notifications don't change.
- The webhook itself keeps working until it's removed in Slack.
