Airmailer supports multiple document formats to make it easy to import your existing content. Understanding each format helps you choose the best option for your documents.

Markdown (.md)
Markdown is the recommended format for Airmailer documents.

Creating Markdown
You can create Markdown files with:
- Any text editor (VS Code, Sublime, Notepad)
- Markdown editors (Typora, iA Writer, Obsidian)
- Export from Google Docs (with add-ons)
- Export from Notion
HTML (.html)
HTML files are automatically processed and converted to Markdown.
HTML Processing
When you upload HTML, Airmailer:
- Identifies the main content using semantic HTML
- Removes boilerplate (navigation, footer, ads)
- Converts to Markdown preserving structure
- Cleans formatting for optimal AI use

Getting HTML from Your Website
Option 1: Save Page As
- Open the webpage in your browser
- Right-click → Save As
- Choose "Webpage, HTML Only"
- Upload the saved file
Option 2: Copy Source
- View page source (Ctrl/Cmd + U)
- Select all and copy
- Paste into a new
.htmlfile - Upload the file
Option 3: Developer Tools
- Open Developer Tools (F12)
- Find the main content element
- Copy the HTML
- Save and upload
Plain Text (.txt)
Plain text is the simplest format with no formatting preserved.
When to Use Plain Text
- Quick notes or simple content
- Content without structure needs
- Direct text exports from other systems
Limitations
- No headings or hierarchy
- No bold or italic
- No lists (appear as plain lines)
- No links (URL only, no anchor text)
Improving Plain Text Documents
To make plain text more useful, structure it with clear markers:

Format Recommendations
For New Content
Use Markdown. It's easy to write and provides the best results.
For Existing Web Pages
Use HTML or URL ingestion. Both work well for importing web content.
For Quick Additions
Plain text works for simple, short content that doesn't need formatting.
Character Encoding
All documents should use UTF-8 encoding. This ensures:
- International characters display correctly
- Emojis work (if needed)
- No encoding errors during processing
Checking Encoding
Most modern text editors use UTF-8 by default. If you have issues:
- Save as UTF-8 explicitly
- Use "Save with Encoding" option
- Avoid legacy encodings (ASCII, ANSI, Latin-1)
File Size Considerations
